Quotation comparison worksheet

Compare the same basket and scope before comparing totals. This worksheet keeps product differences, quantity units, currency and fulfilment exclusions visible across supplier responses.

By PostOrder editorial · Reviewed · How we research

Normalise the basket first

Copy the requested product and quantity beside each supplier's response. Mark exact matches, proposed alternatives and unanswered lines. A Zimbabwe hardware quote with fewer lines is not automatically cheaper for the completed job. Ask the responsible installer or recipient to review suitability where a proposal changes the specification.

Record the complete commercial scope

Keep currency beside every amount and show transport, setup or other quoted services separately. Do not invent a currency conversion or assume a fee is included because another seller includes it. Obtain current terms from each seller, including the applicable validity and release arrangement. This worksheet organises information; it does not provide financial advice or recommend credit terms.

Write the reason for the decision

Record why the accepted quote meets the requirement and which questions were resolved. Keep the final supplier response with the order. Merchant confirmation of funds, reported delivery and recipient acknowledgement remain separate records after a quote is chosen. Download the worksheet before leaving; it does not submit or store your entries.

Putting the record into practice

Two stationery quotes use different pack sizes. The buyer asks for the individual-unit count in each, then compares equal quantities and the actual collection arrangement. The worksheet records the chosen quote and why it answers the approved requirement.

Keep this with the order

Before you proceed
