Recording currency and amounts on an order
Write the agreed currency beside every amount and resolve any difference before treating payment as complete. A number without a currency is an incomplete commercial instruction.
Make the quote unambiguous
Ask the seller to state the currency, goods amount and any separately quoted fulfilment charge. In a Zimbabwe order funded from abroad, the payer may think in a different currency from the merchant's quote. Do not invent an exchange rate or assume the seller accepts a particular payment method. Obtain the actual payment instructions from the merchant through the intended private channel.

Record what was claimed and received
The payer's record should identify the order, amount, currency and available reference. The merchant should reconcile the actual receiving record and confirm the funds received. If charges, conversion or another difference affects the amount, ask the relevant provider or merchant to explain it; this guide does not state how a payment service calculates those amounts.
| Situation | Next action | What remains open |
|---|---|---|
| Quote prepared | Place an explicit currency beside goods and fulfilment amounts. | A number without a currency is insufficient for reconciliation. |
| Claim differs | Compare the actual claimed and received currencies and references. | Ask the relevant provider about charges or conversion rather than guessing. |
| Difference resolved | Record the parties’ agreed explanation and financial position. | Delivery still requires its own evidence and recipient acknowledgement. |

Resolve discrepancies explicitly
Keep an unmatched amount open and record the parties' agreed resolution. Do not automatically instruct a second payment or mark the order fully paid because a screenshot shows a familiar number. Goods fulfilment remains separate: merchant-reported delivery and recipient confirmation still need their own records after the financial position is settled.

Putting the record into practice
A quote and a payment claim show the same number but different currencies. The merchant keeps the claim unresolved and asks the payer to clarify the actual payment record. The order is not marked settled until the discrepancy is addressed.
Keep this with the order
Before you proceed
- Currency beside each amount.
