Order specification worksheet

Turn a conversation into an order another person can check. Fill in the product, quantity, responsibilities and unresolved questions before asking suppliers for comparable quotations.

By PostOrder editorial · Reviewed · How we research

Start with the decision-maker

Identify the person who knows what is required. For a Zimbabwe building project, that may be the contractor; for an appliance, the local recipient should confirm the model and space. Keep the payer's commercial approval separate from technical suitability. The worksheet is an editorial planning tool and does not replace a design, professional recommendation or the seller's actual terms.

Write each item so it can be checked

Use product names, identifiers, dimensions and selling units where relevant. Distinguish a required item from a preferred brand and identify whether alternatives may be proposed. Put unanswered questions in their own field instead of hiding them in a confident description. Send the same agreed specification to each seller, then compare their responses rather than comparing different baskets.

Keep the final version with the order

After revisions, download a fresh copy and identify the version accepted by the payer and recipient. Keep payment evidence outside this public worksheet. A payer's claim still requires merchant confirmation, and goods delivery still requires a receiving record. The final list should help the recipient identify what arrived without exposing private transaction links or credentials.

Putting the record into practice

A buyer requests a mixed hardware basket. The worksheet reveals that two lines lack dimensions and that unloading has no assigned party. Those questions are resolved before quotation approval, giving the collector a usable final list.
