Keeping revised quotations clear
Give each accepted quote a clear version and identify what it replaces. A revised total is not enough when the product, quantity, branch or delivery scope also changes.
Capture the reason for the revision
Begin with the earlier quote reference and list the proposed differences. A Zimbabwe building order may change because the contractor revises a material schedule or a selected branch proposes an alternative. Ask the seller to show the changed lines, not just the new total. Keep the earlier version for context while marking it superseded so the collector does not present it as the current instruction.

Get approval from the right people
The payer approves the commercial amount; the person responsible for suitability may need to approve a changed product. If those people differ, record both decisions. A recipient authorised only to collect should not be assumed to have authority to accept a larger order. Resolve unanswered lines before sending a final collection brief, and identify which version the merchant is working from.
| Situation | Next action | What remains open |
|---|---|---|
| Old quote still circulating | Identify its reference and mark it superseded; keep the accepted replacement available. | A new total alone does not show which scope changed. |
| Unapproved addition | Return the item and commercial effect to the nominated approver. | Leave the added line pending until a response is recorded. |
| Revised order accepted | Send the same final version to seller, payer and recipient. | Compare delivery with this version rather than the original draft. |

Carry the final version into receipt
Send the same accepted list to the merchant and recipient. Keep payment evidence separate: a payer's claim must still be confirmed by the merchant against funds actually received. Later, the delivery record should identify the goods moved under the accepted version. The recipient's acknowledgement records their own check of those goods, including any exception; it is not automatically created by the merchant's dispatch message.

Putting the record into practice
A roof order changes after the contractor corrects an accessory quantity. The seller issues a revised quote and the payer approves it. The collector receives that version, while the earlier quote remains labelled superseded. The delivery is reconciled against the revised schedule.
