Agreeing product substitutions before dispatch

A substitute is a new decision, even when the amount is unchanged. Record what differs and obtain approval from the person responsible for the product's intended use.

Describe the proposed replacement

Ask the seller to state the original line and the proposed product, pack size, quantity or model. A Zimbabwe grocery basket may change format; a hardware order may change specification. A similar photo or equal total value does not establish equivalence. Keep the replacement marked as proposed until the right person accepts it.

Check the consequences

The recipient or technical adviser should review suitability, while the payer approves any commercial change. Recalculate quantities where pack sizes differ and identify any installation or handling implications. For food or animal-health products, rely on the appropriate label information and professional advice rather than assuming one product can safely replace another.

Update the receiving list

Once accepted, issue the final list to the merchant and recipient and identify the earlier line as replaced. Preserve payment truth separately: the payer's claim still needs merchant confirmation. The delivery record should name the product actually supplied, and the recipient should acknowledge that final product rather than the original request.

Putting the record into practice

A bulk-food seller offers a smaller pack at a similar basket total. The buyer checks the resulting unit count and asks the recipient to approve the product before accepting. The receiving list records the new pack explicitly.
