Payment proof and confirmation are different
A payment attachment supports a payer's claim. Confirmation requires the merchant to establish that the expected funds were received. Neither record proves that goods reached the recipient.
Describe what each record can establish
A reference or screenshot may help the merchant locate a payment, but it can be incomplete or unrelated to the expected receiving record. Keep the claim attached to the correct order, amount and currency. Do not label it verified solely because a convincing image was supplied. The merchant needs to reconcile the payment using the records available to them.

Handle an unmatched claim without guessing
If the merchant cannot match the funds, record the uncertainty and ask the payer for the relevant reference through a private channel. Do not invent a provider delay, promise a settlement time or instruct the payer to make another payment without resolving the actual situation. Keep any revised instruction tied to the merchant's clear response and the agreed order.
| Situation | Next action | What remains open |
|---|---|---|
| Payment image supplied | Treat it as supporting material for a claim. | Only the merchant’s reconciliation establishes what the merchant confirms receiving. |
| Delivery image supplied | Identify who supplied it and what it visibly records. | It may not establish the full quantity or final recipient handover. |
| Recipient responds | Retain the actual observations and any exception. | Keep that acknowledgement distinct from the merchant’s earlier report. |

Avoid using financial evidence as delivery evidence
A paid order may still be awaiting preparation, collection or delivery. The merchant should record fulfilment events separately. A recipient in Zimbabwe confirms their own handover even if the payer abroad has already completed payment. This separation makes the record useful when money is settled but a product, quantity or delivery issue remains open.

Putting the record into practice
A payer submits an image with an unclear reference. The merchant requests clarification and keeps payment unconfirmed until the receiving record is matched. After funds are confirmed, delivery remains a separate outstanding stage.
Keep this with the order
Before you proceed
- Claim tied to the correct order.
- Amount and currency retained.
- Merchant reconciliation recorded.
- Unmatched claims remain unconfirmed.
- Receipt requires separate recipient evidence.
