Confirming payment on a Zimbabwe order
A payer's message that money was sent and a merchant's confirmation that money arrived are separate facts. Preserve both without treating a screenshot as verified funds.
Record the claim accurately
The payer should identify the order, agreed amount and currency, along with the payment reference available from the payment method used. Keep supporting evidence in the appropriate private order channel. Do not place account credentials or private transaction links in public library forms. A screenshot can support a claim but does not give the recipient authority to declare that the merchant received money.

Let the merchant reconcile receipt
The merchant should check the receiving account or other authoritative record available to them and confirm the amount actually received. If the amount or currency differs from the agreement, record the discrepancy and obtain a clear response before treating the order as settled. Do not invent settlement times or assume every payment method behaves the same way. The actual provider and merchant terms govern the transaction.
| Situation | Next action | What remains open |
|---|---|---|
| Payer reports a transfer | Record the claim and relevant private reference. | Merchant confirmation remains pending until the receiving record is checked. |
| Merchant cannot match funds | Ask for the missing reconciliation information through the private channel. | Do not create a second payment instruction merely to clear the status. |
| Funds matched | Record what the merchant actually confirms receiving. | Continue to track fulfilment and receipt as separate events. |

Keep fulfilment evidence separate
Merchant payment confirmation can support the next agreed step, but it does not prove dispatch or delivery. Record those events when they occur. A recipient should confirm receipt based on the handover they observed, not because the payer has paid. For a diaspora order, this separation lets the person abroad see the difference between their payment claim, merchant confirmation and the local recipient's acknowledgement.

Putting the record into practice
A payer sends a payment screenshot. The merchant has not yet matched the funds, so the order keeps the claim pending. After reconciliation, the merchant confirms receipt. The later delivery still requires its own record and the recipient's separate acknowledgement.
Keep this with the order
Before you proceed
- Order, amount and currency identified.
- Payment evidence kept private.
- Merchant confirms actual receipt.
- Discrepancies remain visible.
- Delivery and recipient receipt recorded separately.
