Tracking partial deliveries in Zimbabwe
Record a partial delivery by item and quantity, then leave the remaining goods open. A delivery photo or a paid invoice should not make an incomplete basket look complete.
Create an outstanding-goods list
Start from the accepted order and give every line a requested and received quantity. This matters for mixed hardware, feed or household baskets where one missing component may prevent the intended use. Do not replace the itemised balance with a vague percentage. Ask the merchant to identify which lines are ready, which are delayed and which require a fresh substitution decision.

Give each load its own record
Identify the collection or delivery date, the person handing over and the person receiving. Retain the item list for that load and note visible discrepancies while the goods are accessible. Where a transporter collects from a merchant and later reaches a farm or home, record those as separate handovers. The first collector cannot necessarily confirm what the final recipient obtained.
| Situation | Next action | What remains open |
|---|---|---|
| Some lines arrive | Count the delivered lines against the accepted schedule. | Leave all missing lines visible with their original identifiers. |
| Second load proposed | Compare its list with the outstanding balance before dispatch. | Do not count the first load again in the new receipt. |
| Balance disagreed | Attribute each reported quantity to its source and seek reconciliation. | An order total cannot resolve a disagreement about physical quantities. |

Close only the balance actually resolved
Keep payment truth distinct from goods truth. The payer may have paid for the complete order and the merchant may have confirmed those funds, while some goods remain outstanding. Merchant-reported delivery should describe the relevant load. The recipient's acknowledgement should match what they checked, with missing or disputed lines remaining visible until the parties resolve them.

Putting the record into practice
A feed order arrives with one product complete and another short. The farm recipient records both quantities and leaves the second line outstanding. A later delivery is checked against that balance, avoiding a duplicate acknowledgement of the first product.
Keep this with the order
Before you proceed
- Requested and received quantities tracked by line.
- Each load has a dated item list.
- Transporter collection separated from final receipt.
- Missing lines stay open.
- Substitutions require approval.
