Recording a failed delivery attempt

Record an unsuccessful delivery as an attempt, not as recipient receipt. State what prevented handover and agree the next arrangement without inventing a supplier policy.

Describe the event precisely

Record the date, intended destination and the reason reported for the failed attempt. Access, an unavailable recipient or another issue may require different responses. Distinguish the driver's or merchant's report from what the recipient independently confirms. Do not add a reason simply because it seems plausible; ask the relevant participant for the facts.

Agree the next step with the seller

Confirm where the goods are now, who is responsible for arranging another handover and whether a revised charge or collection option applies under the actual terms. For bulky Zimbabwe building or household orders, clarify access and unloading before another vehicle is sent. Keep the payer informed of a proposed commercial change and obtain the agreed approval.

Attempt unsuccessfulAttribute the reported reason and identify where the goods are now.Do not infer receipt from the vehicle reaching the address.
New handover proposedConfirm access, recipient and any revised commercial terms.Return a new charge to the nominated approver before acceptance.
Later handover succeedsCreate a separate receipt for the actual goods handed over.Keep the original attempt in the history without counting it as delivery.

Preserve the outstanding receipt

A merchant may already have confirmed payment, but that financial event does not close the delivery. The later successful handover needs its own item list and recipient acknowledgement. If only part of the order reaches the destination, record that partial receipt and leave the balance open. Keep private contact and access details within the order participants.

Putting the record into practice

A vehicle reaches a property but the agreed receiver is unavailable. The merchant records the attempt and confirms the goods' next location. The buyer agrees a new handover arrangement. Recipient confirmation is recorded only when the goods are actually received.

Keep this with the order

Before you proceed

  • Attempt recorded separately from delivery.
  • Reported reason attributed correctly.
  • Current goods location confirmed.
  • New arrangement and charges agreed.
  • Recipient receipt remains outstanding.
