Preparing a clear delivery handover
Agree the destination, receiving person and checkable item list before dispatch. A useful handover records the goods moved and any exception while both parties can still identify the load.
Prepare the destination brief
Include the agreed address or collection point and ask the supplier to confirm access and unloading responsibilities. For bulky materials, explain constraints before a vehicle is arranged. Do not infer a delivery area or service from a supplier's city address. The seller must confirm the actual arrangement for the order, including any separately quoted charge.

Make the load identifiable
Use the accepted quote or order reference and list the quantities being delivered. If the load is partial, identify the outstanding balance. Give the recipient enough information to distinguish the scheduled products and record visible condition. Where another transporter is involved, keep merchant release and destination handover as two events with their own participants.
| Situation | Next action | What remains open |
|---|---|---|
| Vehicle ready to leave | Check the recipient, destination and agreed unloading arrangement. | Dispatch is not the same event as receipt at the property. |
| Unload point changes | Record the revised arrangement agreed with the relevant participants. | Do not silently copy the original location into the final handover. |
| Load handed over | Count the relevant lines and record visible exceptions. | Leave installation or further checks open where they are outside receipt. |

Record payment and receipt independently
The merchant's payment confirmation establishes funds received; it is not a delivery instruction unless the parties' agreed process says so. A merchant-reported handover should be followed by the actual recipient's acknowledgement of what they checked. Record damage, missing lines or a failed access attempt precisely rather than closing the order with a generic delivered label.

Putting the record into practice
A building-material delivery reaches the site but cannot use the originally proposed unloading point. The recipient and supplier agree a revised point and record it. The handover identifies the actual load and location rather than claiming the original plan occurred unchanged.
