Recording recipient confirmation honestly
Ask the recipient to confirm what they actually received and checked. A useful acknowledgement can include an exception; it should not force someone to claim that untested goods work perfectly.
Give the recipient the agreed list
Send a clear description of the final goods, quantities and any relevant model or version. A recipient should not have to reconstruct the agreement from the payer's messages. For a Zimbabwe order funded from abroad, this list lets the local receiver distinguish a correct delivery from a similar-looking substitute. Explain which checks are expected at handover and which belong to a later installer or user.

Separate observations from conclusions
The recipient can record package count, labels and visible condition. Technical performance, hidden damage or installation quality may need another check. If something is missing or disputed, state it plainly and keep the relevant line unresolved. Avoid a broad success message that erases a known exception merely to close the order.
| Situation | Next action | What remains open |
|---|---|---|
| Packages received | State the quantity, identifiers and visible condition actually checked. | Do not include unopened or uncounted contents as confirmed facts. |
| Check incomplete | Describe which lines are still awaiting inspection. | A limited acknowledgement can leave specific observations pending. |
| Concern identified | Record the affected line and contact the appropriate seller. | Confirmation should preserve the exception instead of hiding it. |

Keep all four records distinct
The payer's payment claim is evidence that payment was asserted. Merchant payment confirmation records funds received. A merchant delivery report records the merchant's account of delivery. Recipient confirmation records the receiver's own acknowledgement. These records may support one another, but none should silently substitute for the others. Keep the supporting evidence private and share only with the appropriate participants.

Putting the record into practice
A freezer arrives with the correct model label and no visible package damage. The recipient records physical receipt but notes that setup and operational checks have not occurred. The order preserves that limit instead of claiming the appliance has passed tests nobody performed.
Keep this with the order
Before you proceed
- Recipient has the final specification.
- Expected handover checks clear.
- Exceptions recorded explicitly.
- Unperformed technical checks remain pending.
- Acknowledgement made by the actual receiver.
