Separating delivery from installation sign-off
Receiving equipment, installing it and completing agreed checks are different milestones. Keep them separate so a delivery acknowledgement does not become an unsupported claim that the system works.
Define the installation scope before purchase
Ask the supplier to identify whether the quote includes equipment, installation, commissioning or only some of those stages. Solar and pumping enquiries in Zimbabwe often involve several participants, so name who supplies each component and who is responsible for technical decisions. This guide does not prescribe a design or a test method; the appropriate professional should define the checks for the actual job.

Record each milestone with its own evidence
At delivery, check identifiers, quantities and visible condition. At installation, record the work completed and any exclusions. At commissioning, retain the agreed check record and operating documents. If another contractor must finish site work, leave that dependency visible. A photograph of equipment mounted in place does not establish every performance requirement.
| Situation | Next action | What remains open |
|---|---|---|
| Equipment delivered | Record its identifiers, count and visible condition. | Installation and commissioning remain open when not yet performed. |
| Work performed | Compare the actual work record with the accepted scope. | Keep exclusions and unfinished site dependencies identifiable. |
| Technical checks completed | Retain the agreed professional check record and operating documents. | Do not replace those records with a nontechnical recipient’s general approval. |

Match acknowledgements to authority
The payer may approve the amount while the local recipient confirms physical receipt and the specialist confirms technical work. Keep those roles explicit. Merchant confirmation of funds and merchant-reported delivery remain separate from the recipient's acknowledgement. Do not ask a nontechnical recipient to certify a result they cannot evaluate or did not observe.

Putting the record into practice
A solar system's equipment is delivered, but commissioning awaits a scheduled specialist. The recipient confirms the equipment count and leaves commissioning pending. The later check record closes that stage only after the agreed work occurs.
Keep this with the order
