Authorising someone else to collect an order

Give a collector a narrow, clear brief: where to go, what to collect and which decisions require approval. Collection authority does not automatically include authority to change the order.

Agree the collector's role with the merchant

Name the actual collection point and ask the merchant what release information is required. Use the merchant's confirmed process rather than inventing a universal identification rule. The payer and buyer may be abroad while the collector is in Zimbabwe. Keep private order links within the intended participants and avoid forwarding payment evidence to someone who only needs a goods list.

Provide a checkable release brief

Send the final product descriptions, quantities, quote reference and the contact for discrepancies. Identify whether the collector may accept a substitute, a partial load or extra charges. If they cannot make those decisions, state who can. For technical goods, the appropriate installer or adviser may need to approve a change before the payer agrees to a revised amount.

Separate collection from destination receipt

The collector should record what the merchant handed over and any visible exception. If they then transport the goods to another recipient, preserve the second handover separately. A payment claim still requires merchant confirmation, and the merchant's release record does not replace the final recipient's acknowledgement. Do not ask the collector to confirm checks that only the destination can perform.

Putting the record into practice

A neighbour collects an appliance for a relative. The neighbour may inspect the package and count accessories but cannot approve a different model. When a substitute is offered, the nominated buyer decides before release. The relative later records receipt at home.

Keep this with the order

Before you proceed

  • Merchant release requirements confirmed.
  • Collection point and final list provided.
  • Change authority limited explicitly.
  • Discrepancy contact available.
  • Final-recipient handover recorded separately.
