Approving extra work on an existing order
Require a clear description and approval before an agreed job expands. A person delivering goods or a vehicle should not accidentally authorise extra work on behalf of the payer.
Start from the accepted scope
Identify the work already approved and the proposed addition. Ask the merchant or contractor to explain the new line and any effect on the amount or completion arrangement. For a vehicle service or installation in Zimbabwe, the person on site may notice the issue while the payer is elsewhere. Keep that observation separate from authority to accept a revised contract.

Send the revision to the nominated approver
Record who can approve the additional amount and who must assess technical suitability. Ask for parts, labour or other changes to be described rather than accepting a bare new total. If the approver is unavailable, keep the proposed work pending under the arrangement agreed with the supplier. Do not invent an emergency authority rule or assume silence means consent.
| Situation | Next action | What remains open |
|---|---|---|
| New issue reported | Separate the observation from the work already authorised. | Ask for a described revision before a commercial decision. |
| Approver unavailable | Follow the waiting arrangement agreed with the supplier. | Silence does not supply missing approval for the additional scope. |
| Revision accepted | Retain the accepted description alongside the original order. | Reconcile final work and charges with both records. |

Reconcile the final record
Retain the accepted revision with the final invoice and work description. Merchant payment confirmation should identify the funds actually received, including any separately agreed additional amount. Delivery or release should describe what occurred, and the recipient should acknowledge their own checks. An extra payment does not prove the additional work was completed.

Putting the record into practice
A workshop proposes another repair after inspection. The driver sends the revised description to the nominated payer instead of accepting it at the counter. The final job record shows the approved addition, and collection does not erase an unrelated unresolved concern.
